When the old authorised signatory has left and still holds the login

A common situation: an employee, partner or consultant who was the primary authorised signatory leaves, and the OTPs and email still go to them. If you still have the password and can receive OTPs, a non-core amendment fixes it. If not, you need the jurisdictional officer's help.

If you still have access

Ask the former signatory to cooperate once with the OTP. Through the non-core amendment, add the new signatory, make them primary, verify the new mobile and email, and then remove the old signatory. Change the portal password immediately after.

If you have no access

The GST system lets the jurisdictional officer update the email and mobile of the primary authorised signatory on a request from the taxpayer. You make a written request with supporting documents, and once updated, the new credentials are sent to the new email and mobile.

  • Request letter on letterhead stating GSTIN, reason and new email and mobile.
  • Board resolution or partners' letter appointing the new signatory.
  • Resignation or relieving letter of the old signatory, where available.
  • PAN and Aadhaar of the new signatory and of the entity.

Common mistakes

  • Creating a new registration on the same PAN in the same state to get around the problem.
  • Letting returns lapse while access is sorted out, which can lead to suspension.
  • Not changing the DSC registered on the portal after the old person leaves.

If it already went wrong

If returns were missed and the GSTIN got suspended, once access is restored file all pending returns first. If you suspect misuse of the login by the former signatory, record it in writing to the officer. A professional can prepare the request and follow up in writing.
