GST REG-30 explained: the officer's field visit report

GST REG-30 is the field visit report an officer uploads after physically verifying the place of business of an applicant or registered person. Rule 25 requires the report, with photographs, to be uploaded within 15 working days of the verification.

When physical verification happens

Verification can take place before or after registration. Before registration, it is common when the applicant has not done Aadhaar authentication or is flagged on risk parameters, and in those cases the officer has 30 days to decide. After registration, it may be triggered by a complaint, data analytics, return mismatches, or as part of cancellation proceedings.

The officer visiting the premises may also take statements and check whether the business named in the application is the one actually operating there.

What the report records

  • Whether the premises exist at the declared address
  • Whether business activity is seen, such as stock, staff or machinery
  • Whether the name board and GSTIN are displayed
  • Who was present and their relation to the business
  • Photographs of the premises
  • Comments on documents seen

Why it matters

An adverse REG-30 report is a common basis for a REG-03 query, rejection in REG-05, or a REG-17 notice proposing cancellation. The applicant usually does not see the report in advance, so being prepared for a visit is the best safeguard.

Preparing for a visit

  • Display a board with the business name and GSTIN at the entrance
  • Keep the registration certificate displayed
  • Keep rent agreement, electricity bill and consent letter at the premises
  • Ensure someone responsible is present during business hours
  • Keep recent invoices and stock registers available
  • If you work from home, make the business area identifiable

If the report is adverse

Respond in writing to the notice that follows, with photographs and documents, and ask for a fresh verification if the premises were closed on the day. A professional can prepare the reply and request a hearing.
